The anticipated salary range for this role is between $50,000.00 and $89,000.00. The specific salary offered to an applicant will be based on their individual qualifications, experiences, and an analysis of the current compensation paid in their geography and the market for similar roles at the time of hire. The role may also be eligible for an annual discretionary incentive award. In addition to cash compensation, SMBC offers a competitive portfolio of benefits to its employees.

 


Role Description

As part of SMBC Americas' strategy to build a commercially competitive, U.S. regulatory-compliant Commercial Investment Bank, SMBC Americas Division (AD) established an organizational transformation team (the “Strategy & Transformation” group) aligning all end-to-end efforts across the organization.

The Senior Administrative Assistant / Team Coordinator will support the Strategy & Transformation, as well as Corporate Marketing and Communications teams by providing daily administrative support, often requiring independent thought and resolution of complex situations departing from daily activities. The Team Coordinator is responsible for leading and managing various processes including, but not limited to, relationship management, daily administration, communication, calendaring, scheduling, distributing meeting materials and minutes, and travel coordination.

Role Objectives: Delivery

  • Support AD-wide transformation activities and executive management administrative related duties.
  • Directly support the Head of Strategy & Transformation.
  • Manage integrated program calendar of key activities and key stakeholder meetings.
  • Develop and own the regulatory engagement calendar and meeting preparation cadence for the team.
  • Own the onboarding process for new employees.
  • Manage floor plans and seating charts.
  • Ensure timely completion of internal governance obligations for the broader team including: training, internal audit points, and IT device/asset management.
  • Assist with transformation communication strategy and associated event/engagement planning.
  • Act as a central coordinator of the transformation office by compiling meeting minutes, facilitating team meetings, and arranging meeting agendas.
  • Support the Strategy & Transformation pillar leads by coordinating calendars, arranging travel plans and managing expenses.

  • Ability to accurately and efficiently maintain the calendar, scheduling internal and external meetings, communicating with SMBC employees and external parties, and planning/coordinating travel, as appropriate.
  • Undertakes projects and produces quality/timely results; ability to manage a heavy work volume and meet deadlines; problem solver – able to work with other teams and staff members effectively to reach a viable solution and goal.
  • Demonstrates the highest standards of ethics, integrity, honesty, diversity, and discretion.
  • Exercises effective problem solving/judgment in escalating situations and/or other applicable parties internal to SMBC.
  • Fluency in office productivity software: MS Office (MS Word, MS Excel, MS PowerPoint), SharePoint, MS Teams.
