Job Description:

Overview: (Requires active NJ Broker/Salesperson license) As the Office Manager at Century 21 Abrams & Associates you will be the central point of contact for ensuring the smooth and efficient operation of our office. Your role will be pivotal in maintaining a productive and organized workplace environment, supporting our team of real estate professionals, and facilitating effective communication both internally and externally. This position offers an exciting opportunity to contribute to the success of our dynamic and fast-paced real estate business.

Key Responsibilities:

1. Administrative Support:

· Provide administrative assistance to real estate agents and other team members, including managing calendars, scheduling appointments, and handling correspondence.

Clerical works includes, but not limited to- inputting listings into MLSs, setting up showings, processing dot.loop forms, doing CMAs, marketing listings, making flyers communicating with agents.

· Coordinate meetings, conferences, and appointments, ensuring all logistics are arranged promptly and efficiently.

· Maintain office supplies inventory by checking stock levels, anticipating requirements, placing and expediting orders, and verifying receipt of supplies.

2. Office Operations:

· Oversee daily office operations and procedures, ensuring the office runs smoothly and efficiently.

· Develop and implement office policies and procedures to improve operational efficiency and streamline workflows.

· Maintain office technology and systems, including computers, file systems, and calendars.

3. Client Interaction:

· Welcome and assist clients and visitors to the office, providing excellent customer service and ensuring a positive experience.

· Handle incoming inquiries via phone, email, and in-person, directing them to the appropriate team member or department.

· Assist with the preparation of marketing materials, property listings, and presentations as needed.

 

Qualifications:

· New Jersey Broker or Sales Associate Real Estate license required

· Previous experience in an office management or administrative role, preferably in the real estate industry.

· Strong organizational skills with the ability to multitask and prioritize workload effectively.

· Excellent communication and interpersonal skills, both written and verbal.

· Proficiency in Microsoft Office Suite and other relevant software applications.

Some background in Graphic design is preferred.

· Attention to detail and a high level of accuracy in all tasks.

· Ability to work independently with minimal supervision and as part of a team.

· Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.

· Professional demeanor and a commitment to providing exceptional customer service.

· Education: College diploma or equivalent is preferred. Additional qualifications in office administration, business management, or a related field are preferred.
