Job Description:

Job Duties

Credentialing and Recordkeeping for Medical Staff Functions
1. Monitors an efficient and compliant credentialing process for members of the medical staff and credentialed allied health professionals. 2. Advise the Medical Staff Coordinator and Credentialing Specialist regarding difficult privileging issues.
3. Responsible for complete and accurate credentials files and the maintenance of the same through the Medical Staff Coordinator and Credentialing Specialist.
4. Responsible for timely notification to all applicants of the granting, change, restriction, or revocation of privileges.
5. Ensures that timely credentials reports are provided to the Medical Executive Committee for information or action, through the Chair of the Credentials Committee and to the Board of Trustees for information or action, through the Chief of the Medical Staff.
6. Monitors current licensure/certification/registration and professional liability coverage for all physicians and credentialed allied health professionals at all times and takes appropriate action as necessary.
7. Assists the quality department with gathering and reporting of data related to focused and ongoing professional practice evaluations of current competency of the medical staff and credentialed allied health professionals.

 


Administrative Representative for Medical Affairs
1. Is available to members of the medical staff as an avenue to voice issues or concerns they may have with hospital operations. Responds timely and appropriately to inquiries. Forwards issues as well as recommendations for improvement to hospital's administrative team.
2. Uses knowledge and experience with medical staff organization and process to make recommendations to medical staff leadership.
3. Assists with gathering benchmark information relevant to issues facing medical staff leaders.
4. Manages the creation and dissemination of specialty specific call schedules.
5. Provides support to clarify credentialing issues with the Chair of the Credentials Committee and all Division Chiefs.
6. Provides for and oversees administrative support for meetings to Committee Chairs and Division Chiefs to include announcements, agenda, and minutes. Maintains permanent minutes for medical staff committee meetings.
7. Maintains records for communication and global information that is disseminated to the medical staff.

 


Regulatory and Compliance Support
1. Maintains knowledge of the Joint Commission requirements pertaining to medical staff for continued accreditation. Assesses standard compliance and provides recommendations to maintain compliance.
2. Maintains knowledge of hospital’s Medical Staff Bylaws and Rules & Regulations and reviews these annually. Provides recommendations to the Bylaws committee.
3. Educates the medical staff and hospital staff on current Joint Commission standards, facility Medical Staff Bylaws and Rules & Regulations, and medical staff policies to promote awareness and to ensure compliance.
4. Assists with conducting investigations to address issues with TDH, TMB, TMF, or any other regulatory agency as directed by the Hospital President or Chief Medical Officer.
5. Assists with conducting investigations to address concerns related to disruptive or inappropriate behavior, possible impairment,
HIPAA security violations, or any other issue or concern related to hospital or medical staff policy as directed by the Chief Medical Officer. 6. Supports compliance with the Medical Staff Bylaws and Rules & Regulations by taking appropriate action with the Division Chiefs when non compliance is confirmed.
7. Collaborates with TREI to provide continuing medical education opportunities for the medical staff.
8. Assists with the development of medical staff policies, and revisions to Medical Staff Bylaws and Rules & Regulations and medical staff policies in conjunction with appropriate medical staff leaders, the hospital’s administrative team, and other department heads.

 


Administrative Management of Medical Staff Services department operations
1. Provides direct supervision of employees and volunteers who work in the Medical Staff Services department.
2. Outlines expectations and measures performance on an ongoing basis.
3. Assesses staff educational needs and supports employees in achieving ongoing educational opportunities.
4. Develops and monitors the operating budget for Medical Staff Services.
5. Approves expenditures within the level of authority.
6. Explains unbudgeted expenses and justifies expenditures prior to obligation.
7. Monitors the collection of initial application fees and late reappointment fees.
8. Serves as the primary contact person for other hospital and corporate department heads concerning medical affairs and medical staff issues and concerns.

Education
HS Diploma or equivalent (and 4 additional years experience in hospital or other health related medical staff services) required. Or, Bachelor's Degree required

Experience
9 years in hospital or other health related medical staff services (with high school diploma) required. Or, 5 years in hospital or other health related medical staff services (with bachelor's degree) required

Licenses and Certifications
CPCS - Certified Provider Credentialing Specialist, or CPMSM - Certified Professional Medical Services Management required upon hire
