Position Title

Administrative Assistant

The Faculty and Academic Support Center (FASC) provides a supportive environment for legal scholarship, education, and law school governance on behalf of the Law School faculty. As such, the FASC plays a significant role in attracting research active legal academics to the Law School.

The administrative assistant will work with a team to ensure continuity, professionalism and excellence within the Faculty & Academic Support Center (FASC) of the Law School. Core responsibilities include, but are not limited to:

  • Provide the Director of the FASC with administrative support in the facilitation of hiring FASC staff and the coordination of on-campus candidate visits during the hiring process of faculty.
  • Support the faculty of the law school in completion of the publication process, for instructional purposes, and for faculty committees in completion of their responsibilities.
  • Create and maintain How-To related-job aids and organize and provide staff training;
  • Maintain and assist with troubleshooting the use of office equipment, photocopiers, hardware and software;
  • Order and maintain the FASC’s inventory.
  • Take and distribute the Minutes for FASC meetings;
  • Assist with building reports and surveys;
  • Create and maintain work logs, tracking sheets, and file management systems;
  • Handle, maintain and store confidential documentation.
  • Act as the liaison between W&M community members and external entities.

 

 

Required Qualifications

  • High School Graduate or equivalent.
  • Familiarity with basic editing symbols.
  • Advanced skills using word processing applications, desktop publication applications, graphics and presentation software with the use of computer hardware; transcribing dictation applications and equipment; and the use of document and photo scanners.
  • Demonstrates superior written and oral communication skills.
  • Demonstrated ability to type and format manuscripts using tools available;
  • Demonstrated ability to work in a fast-paced environment with firm deadlines;
  • Demonstrated willingness to learn new skills as technology and the Faculty and Academic Support Center’s needs advance.
  • A background in preparing mail merges, technical typing of manuscripts, formatting and proofreading (including correcting spelling and grammar errors) while entering edits is essential.

 

Preferred Qualifications

  • Experience with ExpressO and Scholastica.
  • Familiarity with Digital Measures Activity Insight database, MyLaw, W&M Box, Cascade, and Blackboard.
  • Experience with Microsoft Office 2013; WordPerfect XP 5; Adobe Professional 9 or other graphic software; and MS Windows 7 Enterprise.
