Opening in spring 2023 following a $12 million renovation, LEGO® Discovery Center Boston will give families in Boston and across the northeast the opportunity to experience highly interactive indoor LEGO® play experiences including a ride, 4D theatre, LEGO® Space digital experience, DUPLO® Park, Hero Zone, and Creative Club among other immersive experiences.

 

We are looking for a dedicated Administrative Assistant to join our team and help create magical memories for our guests in Boston’s ultimate indoor LEGO® experience!

 

Compensation for this opportunity is $18.50/hour.

 

About The Role

 

The Administrative Assistant will manage all back of house office functions, keeping a well maintained and professional atmosphere, while also providing administrative support to the management team of the attraction. The Administrative Assistant will also play a key role in recruitment and onboarding of staff.

 

About Your Job

 

  • Create, implement, and maintain support functions for back of house
  • Work with site and HR contacts to support recruitment through activities including job fairs, phone screenings, interview scheduling, and candidate management via Indeed and internal Merlin job site
  • Work with site and HR contacts to support delivery of onboarding through activities including but not limited to induction, orientation scheduling, I-9 set up, uniform and resource distribution
  • Maintain confidential company and employee information
  • Answer customer inquiries by phone and email. Ensure the highest possible standards of service for both Internal and External customers
  • Perform clerical tasks, such as filing and arranging documents, employee files, invoices and other indexed documents according to an established system, including scanning and mailing items to Central Support teams (i.e. Finance, HR)
  • Create, receipt, and maintain blanket PO’s for general Office vendors, including Amazon, Staples, Xerox, etc
  • Sort and distribute incoming and outgoing mail. Package and create labels for shipping and courier companies
  • Maintain office, breakroom, and uniform supply levels. Process and distribute monthly office supply orders for entire attraction
  • Assist attraction management team in driving team Reward & Recognition initiatives, including coordinating and championing events, social and staff welfare committees.
  • Additional duties may include assisting departments during high volume periods and completing special projects

 

About You

  • Customer service experience is preferred
  • Any combination of training and/or experience which demonstrates ability to perform the duties as described; a typical qualifying background would include experience working in an office environment involving public contact
  • This position requires a fun, outgoing approach in interacting with others with a desire to provide service on the highest possible level and the ability to work individually and as part of a team
  • Must be able to work in a fast paced, multi-task environment
  • Excellent communication skills are required verbal and written
  • Knowledge of standard types of office filing systems, proper telephone etiquette and techniques; standard office software applications; standard office equipment
  • Skill and ability to use various software applications; organize and prioritize work; perform basic research and report results; proofread material and make necessary corrections; learn and follow standard office procedures; learn appropriate filing and recordkeeping systems; select appropriate business formats; work cooperatively and effectively with management, staff and the general public
