Location: San Francisco preferred, New York considered

Scope: Full-time (initial 3 month contract, with potential to extend to permanent role)

Escape the Routine is growing and we are looking for of a detailed-oriented Administrative and Events Assistant to assist the CEO keeping our ducks in a row! We are seeking a detailed, system oriented candidate who loves the event industry to join as our third full time teammate. Our current projects consist of corporate events, venue management, and concert promotion. This is a great opportunity for anyone looking to help set the foundation of a growing hospitality and events company.

JOB RESPONSIBILITIES

  • Manage vendor and client logistics, correspondence, and planning for upcoming events.
  • Prepare details for client proposals, including floor plan mock up, gathering quotes, and creative research.
  • Maintain information hygiene across digital systems including our vendor and partner database, and client file management system.
  • Researching new vendors, artists, makers, spaces for events.
  • Support the CEO with travel booking, calendar coordination, and correspondence.
  • Support with marketing and social media planning and drafting.
  • Assist with on-site event setup and execution, as needed.

QUALIFICATIONS

You are right for this role if you:

  • Take pride in providing top notch hospitality at every touchpoint
  • Excel in multitasking, problem solving, and have strong communication skills
  • Possess knowledge of the events industry and have 2+ years of related experience in administration, operations, or event coordination
  • Are highly organized, can manage time effectively and thrive in fast paced environments
  • Are able to work effectively under pressure with tight deadlines, adapt to unforeseen
  • circumstances and willing to work non-standard hours/weekends
  • A creative, forward thinker with a passion for designing spaces
  • Experience using Google Workspace, Notion, Canva, and Salesforce a plus.
  • Are constantly thinking of ways to improve, and consider feedback a gift
  • Love hosting and bringing people together
